Job Title: Logistics Officer
Job Grade Level: II
Reports to: Logistics and Security Manager
Role and Responsibilities:
Under the guidance and supervision of the Logistics and Security Manager, the Logistics Officer will be responsible for the following deliverables;
- Draft, modify, and amend Supplier contracts, lease contracts, rental agreements, fuel and vehicle contracts, case reports, etc. About the field office.
- Provide all logistics support to the program team for smooth operations, related to planned project activities.
- Provide efficient support and ensure the success of the overall procurement & logistics activities, while providing efficient utilization of resources through logistics procedures.
- Supervise Warehousing and its staff, and the required documentation.
- Provide more generalized assistance and logistics services to staff implementing field projects.
- Analyze and process requests for procurement of goods and services forthe field office, including office supplies, etc., to ensure adherence to the standard Cesvi Pakistan logistics guidelines.
- Supervise all logistical arrangements, ensuring proper quality control, specification compliance, monitoring,g and verification of deliveries, plus timely delivery to the end user.
- Provide logistical support in collaboration with the Logistics Manager for all distributions to flood-affected families in Sindh.
- Supervise and monitor the performance of the designated driver’s tasks.
- Regular maintenance and upkeeping of assets invento,ry e.g., handovers for desktops, laptops, and their associated accessories, scanners, printers, copy machines, Etc. With the proven ability for IT equipment handling.
- Ensure timely preparations and submission of payment release documents,s including GRNs, Purchase authorizations, invoices, and acceptances.
- Establish proper recording and monthly reporting systems of all distributions, work-in-progress activities, and updated inventory.
- Familiar with the local context and surrounding areas very well.
- Management of support staff, security guards, and cleaning staff.
- Maintenance of the office building, team house, and ensuring proper functionality of the office.
- Monitor/liaise with field offices on inventory, fuel consumption as per the standard systems, andthe establishment of a proper recording system for the field’s monthly reports.
- Any other job-related task assigned by the supervisor.
Qualifications:
- a. Education
A bachelor's degree in supply chain management/Business Administration or equivalent.
- b. Experience:
- Minimum of 04 years of relevant professional experience in a similar position in the UN/INGOs/NGOs.
- c. Competencies:
Superior organizational skills and ability to multitask, work under pressure, meet deadlines in a fast-paced,d fluid environment.
Excellent interpersonal communication skills to build links with staff, partners, government officials, donors, and other relevant stakeholders.
Creative and flexible with problem-solving skills.
Demonstrated professionalism and diplomacy.
Ability to confidently represent oneself to high-level officials.
- d. Technical Skills:
Confident and proficient in the use of MS Office, proficiency in the English language (written and spoken) is mandatory. Proficiency in the local language (Pashto) is desired.
