The Admin Assistant will provide administrative and operational support to the project team, ensuring smooth day-to-day functioning of the office and project activities. The role includes managing correspondence, organizing documentation, supporting logistics, and assisting in coordination among project staff, stakeholders, and partners.

 

Key Responsibilities

  • Manage incoming and outgoing correspondence, emails, and phone calls, ensuring timely responses.
  • Maintain organized project files, records, and databases.
  • Assist in preparing reports, presentations, and official documentation.
  • Ensure office supplies, stationery, and other resources are adequately stocked and maintained.
  • Support travel arrangements, meeting schedules, and logistical coordination for staff and project activities.
  • Assist in the organization of training sessions, workshops, and community events, including venue setup, participant coordination, and documentation.
  • Support the preparation of outreach and promotional materials as needed.
  • Maintain accurate records of project activities, meetings, and event attendance.
  • Facilitate internal communication among team members and departments.
  • Support coordination with external stakeholders, partners, and service providers.
  • Assist in follow-up on pending tasks, approvals, and submissions to ensure project timelines are met.
  • Maintain accurate and up-to-date records of administrative and operational activities.
  • Assist in compiling data for reports, monitoring, and evaluation purposes.
  • Ensure documentation complies with donor, organizational, and project guidelines.

 

Performance Indicators

  • Timeliness and accuracy of administrative and logistical support.
  • Organization and maintenance of project files, records, and reports.
  • Effectiveness in supporting project events, meetings, and training sessions.
  • Positive feedback from project team and supervisors.
  • Ability to manage multiple tasks efficiently and meet deadlines.

 

Qualifications

  • Bachelor’s degree in business administration, Management, Social Sciences, or a related field.
  • Diploma or short courses in office management or administration is an added advantage.

 

Experience

  • Minimum 1–3 years of experience in administration, office management, or support roles, preferably in NGOs or donor-funded projects.
  • Experience handling office logistics, documentation, and coordination of events is preferred.

 

Required Skills & Competencies

  • Excellent organizational and time-management skills.
  • Strong interpersonal and communication skills in English, Urdu and Pashtu.
  • Proficient in MS Office (Word, Excel, PowerPoint) and basic office software.
  • Attention to detail and accuracy in documentation and reporting.
  • Ability to multitask, prioritize, and work under supervision.
  • Professionalism, confidentiality, and integrity in handling office and project matters.
  • Team player with a proactive attitude and problem-solving capability.
