Position Summary: The Program Support Associate will provide essential operational support to ensure the effective and timely implementation of program activities in Thatta. The position is primarily focused on finance, logistics, fleet management, and administrative support. The role is critical to supporting field teams with smooth supply chain operations and compliance with ACF procedures.
Relevant Experience: Bachelor’s degree in Logistics, Business Administration, or a related field. 2 to 3 years of experience in logistics, distribution, or administrative roles. Preference will be given to candidates with experience in international NGOs (INGOs) or humanitarian organizations. Strong working knowledge of Microsoft Office (Excel, Word, Outlook). Good understanding of supply chain, inventory control, and administrative systems. Strong communication, coordination, and reporting skills. Fluency in Sindhi and Urdu; basic English preferred. Willingness to travel within Thatta.
Job Description:
Mission: 1. Finance
Support in petty cash payments & advance closing
Processing all office related payments & coordinating with CO for treasury management
Budget follow up & over / under spent monitoring
Support in updating PM tool & follow up on payments / program deliverables
Mission 2: Logistics Coordination
Fleet management (Monitor fuel consumption, vehicle logbooks, and maintenance schedules)
Goods reception & delivery to warehouse
Collaborate with program teams to organize and execute distribution activities in the field.
Maintain up-to-date inventory and ensure proper documentation including GRNs and stock reports
Assist in generating stock movement reports, fleet usage summaries, and other relevant reports as required.
Mission 3: Fleet Management
Manage daily operations of vehicles, including scheduling, movement tracking, and coordination with drivers.
Monitor fuel consumption, vehicle logbooks, and maintenance schedules.
Ensure vehicles are properly equipped with first aid kits, tools, and necessary documents.
Maintain accurate records of vehicle usage and report any issues to the supervisor promptly
Mission 4. Reporting & Documentation
Maintain proper filing of payments, log books and distribution records both digitally and physically.
Support audit preparedness by ensuring traceable and organized documentation.
Assist in generating stock movement reports, fleet usage summaries, and other relevant reports as required.
Mission 5: Administrative Support
Provide general office support including handling stationery, utility coordination, and basic office maintenance.
Support onboarding of new staff by organizing required documentation and workspace setup.
Maintain and update personnel files, leave tracking, and attendance records for field staff.
Ensure compliance with internal administrative procedures and maintain confidentiality of sensitive information.
