Job Description:
The Program Coordination and Documentation Coordinator is responsible for overseeing program implementation, ensuring effective coordination among stakeholders, and maintaining high-quality documentation and reporting. This role includes supervising Women and Girls Friendly Spaces (WGFS) to ensure they provide safe, inclusive, and empowering environments for women and girls. The coordinator will also facilitate program activities, monitor progress, and ensure compliance with organizational and donor guidelines while supporting advocacy efforts to enhance women's protection and empowerment.
Main Responsibilities:
Program Coordination & Implementation
- Oversee the implementation of program activities, ensuring alignment with project objectives and timelines.
- Supervise Women and Girls Friendly Spaces (WGFS) to ensure they provide safe, inclusive, and supportive services for women and girls.
- Coordinate with field teams, stakeholders, and partners to facilitate effective service delivery.
- Support capacity-building initiatives for WGFS staff, ensuring they are equipped with the necessary skills and knowledge.
Documentation & Reporting
- Maintain accurate and up-to-date documentation of program activities, including meeting minutes, case records, and success stories.
- Prepare high-quality reports for donors, partners, and internal stakeholders, ensuring compliance with reporting guidelines.
- Develop and update program databases, tracking progress, challenges, and impact.
- Ensure proper record-keeping of activities conducted in WGFS, including attendance, services provided, and case referrals.
Monitoring & Evaluation
- Support the development and implementation of monitoring frameworks to assess the effectiveness of program interventions.
- Conduct regular field visits to WGFS and other program sites to ensure adherence to program standards.
- Collect and analyze program data, identifying key trends and areas for improvement.
- Provide recommendations for enhancing program effectiveness and service delivery at WGFS.
Stakeholder Engagement & Advocacy
- Coordinate with government agencies, NGOs, and community-based organizations to strengthen program partnerships.
- Support advocacy efforts for women’s rights and gender-based violence (GBV) prevention through engagement with local stakeholders.
- Facilitate awareness-raising sessions and community engagement activities to promote the objectives of WGFS and other program initiatives.
Administrative & Logistical Support
- Manage scheduling, correspondence, and logistical arrangements for program activities.
- Assist in budget tracking, resource allocation, and procurement related to program implementation.
- Ensure timely processing of financial and administrative documentation.
- Carry out any other task assigned by the supervisor
